Job Description:

JOB SUMMARY:

The Risk and Community Outreach Coordinator is responsible for coordinating all insurance coverage of the Board, preparing and negotiating Board facility lease agreements, coordinating and leading student safety initiatives, and managing the community use of schools’ program.

QUALIFICATIONS:

Education & Experience:

Minimum of 2 to 3 year Specialized Community College and Canadian Risk Management designation.

A minimum of 2 to 3 years’ experience.

SKILLS REQUIRED:

Specific Knowledge of:

  • Community use of schools, insurance and health and safety, as well as related policies, procedures and techniques
  • Insurance industry and policies, related claims, reviews, etc

Competencies:

  • Ability to translate knowledge to provide advice and guidance to others
  • Ability to manage insurance claims and respect confidentiality
  • Ability to compile data and produce reports

BRIEF LIST OF DUTIES:

Community Use and Lease Management

  • Responds to inquiries regarding community use of schools, insurance and health and safety from school representatives and community members
  • Develops and distributes materials to schools to support marketing of services
  • Manages all community use of school’s on-line bookings, compiling annual use of schools’ data, and attending meetings to discuss community use of schools
  • Manage lease agreements for organizations that occupy school space on an ongoing basis, including creating agreements, confirming rental fees based on fee schedule, and arranging for signing of In conjunction with the Facilities Dept., prepare funding applications to the Ministry of Education for Childcare and Early Years spaces. Coordinates construction projects with daycare operators when construction will affect occupancy.
  • Meets with new tenants to provide information
  • Notifies Facilities when tenants have facility concerns
  • Provides first point of contact for users
  • Organizes summer tenant moves to accommodate summer schedules
  • Coordinates with Facilities when daycares will be operating on non-instructional days and holidays
  • Develop and recommend procedures and guidelines concerning community use of schools and student safety initiatives for management approval
  • Serves as a member of provincial committee and as a member of local Early Years committees (Best Start Network, Every Kid in Our Community, etc.)
  • Maintains database of leases

Student Safety

  • Provide advice to school staff based on activity / risk chart
  • Communicates with schools when play structures are too close for the Winter and works with Facilities to determine when they should reopen in the Spring
  • Review student incident reports and investigate reports to determine liability and potential claims
  • Communicate with Insurer regarding insurance-related matters while respecting confidential information
  • Manage all Automated External Defibrillators in UCDSB facilities
  • Attend JHSC meetings as a resource
